Create a New Document

Create a new document in your favorite word processor. On the top give the title of the work. Below it, write down the name of your organization as well as its address. Include address and contact details. Then draw a horizontal line below it to separate this part from the main content.

Participants

Write down the names of the people who will be doing the task. Only include the names of those people whose tasks are interdependent. If there are other tasks as well that don’t really require people from this group directly, you should create a separate agenda for them. This way you can maintain clarity.

Purpose

The people should be aware of what they are working towards. That helps them make better decisions. Also if there is a flaw in the system they will be able to notice it and report it immediately. Thus keeping the people informed about the entire task usually proves to be a good idea unless it is some top-secret project whereby the rules change.

In the next section, we create an actual agenda. We can use a table to better format our data or choose to leave it because there will not be too many rows. On one side put the time when the task is expected to be started and beside it write down the task. Under this main task write down the smaller tasks involved in the bigger one. The most important tip is that you should provide sufficient breaks. Step 4: Define the Approach

After mentioning in the agenda what needs to be done, you need to tell the members how to do it. The approach of the project determines how the work is to be done to accomplish the established goals. It defines how the team will work together to make the project a success.

Step 5: Assign Roles

The most important step to be included while making a project agenda is assigning roles. After the team understands the context of the project, they need to know who is doing what. Each member needs to have a clear idea of what he or she has to do to contribute to the project. Each task should be placed against each respective member’s name.
