How to Make Your Performance Analysis Report

Remember that the entire point of having this type of report is to tell the reader about the performance level about a particular employee or number of employees. It’s a very useful tool that can help determine whether an employee requires more training, is an exceptional part of the business, or someone that’s no longer needed. If there’s anything that can help determine one’s value in the business, then that would be the results from this type of report. You can also read data analysis report templates.

And with that in mind, here are the steps that will allow you to create a proper performance analysis report:

1. Gather Up All the Data You’re Going to Need

Before you can start with anything, you must first get all the information you’re going to need on the employee or employees that you have already assessed. It’s very important that you don’t forget anything as you want your report to contain as much content as possible that will tell readers exactly what they need to know about the performance level of the employee being focused on. You can also read strategic analysis reports.

So let’s say that you were in charge of handling the employee and you were made to conduct a report on his or her performance. You only want to use observations that you’ve managed to witness firsthand and not just through hearsay. For example, one of your colleagues tells you that one of the employees you’re in charge of often comes into work at least 30 minutes late. You can also like sample gap analysis report templates.

Don’t put that in the report unless you know for certain that the employee is actually almost always late. What you’re going to have to do in this situation is to confirm the information that you’ve just been told and carefully observe the employee. If he or she does indeed arrive late often, then you may include that in the report. If not? Then simply discard the information. You can also like sales analysis templates.

Also, include any documents that you can get your hands on that will tell you what you need to know regarding how well the employee is doing in the workplace. The more information you’re able to obtain, the better it will be for you when coming up with the performance analysis report. You may also like gap analysis report templates.

2. Point Out the Behaviors of the Employee Being Reported

This is a section of the report that could ultimately tell the reader as to what type of worker a particular employee is. It’s where you’re going to write about the behaviors that are specifically related to the work that’s being done. Here’s a short list of the things that you’ll definitely need to include:

As you’re doing this, you should write down both the positives and the negatives. It’s best that you first focus on the positive as it can at least motivate the employee being assessed to know that he or she is doing some things right. Once you’re done with the positives, you can then move on to the negatives. It’s best that you look at things in the most objective manner possible. When talking about the negatives, don’t make it sound as if you’re trying to put down the employee for not doing a good enough job. You should instead focus on finding out ways in which he or she can solve these problems. You may also see monthly sales reports.

When writing down either the positives or the negatives, it’s very important that your specific as to what they are. That way the employees you’ve assessed can easily understand what it is that they have to keep up and what it is that they have to change or improve. Just make sure that you give a very detailed explanation of the things that the employee has done right and the ones that have been done wrong. You may also like research report formats.

3. Link the Employee’s Current Performance Analysis With Previous Ones

If you want to see as to whether or not an employee has made any significant improvements, then all you have to do is compare the current performance analysis with previous ones. This is where you will be using all of the information you’ve taken from the performance analysis and using it to see whether the assessed employee has made any positive improvements, has still remained the same, or has gotten progressively worse. You can also see printable project analysis.

You should definitely start off with a statement regarding the employee’s current performance. Do that, then follow it up with a comparison of how he or she was during the previous analysis. Make a side-by-side comparison statement to show the reader as to the current status of the employee. You can also read sample needs analysis templates.

4. Provide Your Comments About the Employee’s Performance

This is the section of the report where you can get a bit more opinionated in regards to how an assessed employee is performing. Remember that your comments here will determine the value of the employee to the company to make sure that you only provide ones that will tell the reader exactly how you feel in regards to the employee’s performance. However, if the employee has been consistently underperforming, you shouldn’t say it in a way that could offend the person that you’re writing about. Try to picture how you would want to hear bad news and use that when writing down your comments.

So what you can do is state the problems that the employee is obviously facing. Then you should provide feedback on the different things that can be done in order for the employee to get rid of these problems. But if the employee has been shown to be someone that wasn’t meant for the company, then you should state that as clearly as possible. You may also see customer analysis templates.

Things are much easier if the employee you’ve assessed is someone that has done nothing but shown positives. While such people are rare, there’s always a chance that you could have them in your company. So just state specifically what it is that the employee is doing right and point out how valuable he or she is to the business. You may also read situation analysis templates.

5. Proofread and Edit What You’ve Made

Before you submit your report, it’s very important that you take a good look at it first before you can do anything. You don’t want to pass off anything that contains incorrect information. Inaccurate reports will show that you’re someone who cannot be trusted to conduct a performance analysis and that’s something you don’t want to happen. So all you have to do is check whatever you’ve written down, make sure that everything is correct, fix whatever mistakes you find and submit it when you’re done. You may also read sales analysis templates.
