How to Make Your Attendance Action Plan

Discuss the Details Regarding When Students Should be in School

Naturally, they have to be the ones to make sure that their children actually attend their classes and that they’re always present when they’re needed. So what you’ll want to state is that they have to make sure that their children attends their classes regularly. You’ll also want them to know how they should explain in the event that their children cannot be present in school during a particular date. You can tell them that they can send an email to an email address that you will be providing them with, or you can say that they’ll have to create a written explanation and hand it over to the right authority to ensure that the student’s absence can be properly and rightfully documented.
  • The Responsibilities of the Student – Remember that you want to point out exactly what it is that the student will need to do to ensure that they’re able to maintain a clean attendance record. So what you’ll want to state in the action plan is that they have to head over to their assigned classrooms before or on the time that they’re supposed to be in them. Clarify what time that is so that there won’t be any questions. You’ll also have to outline what it is that they’re supposed to do in the event that they show up late. It’s best that you provide them with the procedures on what they should do in the event that they were not able to make it on time for their classes. That way, you can ensure that their tardiness will be documented and that they’ll still be considered as present for that particular day.
  • Responsibilities of the Teacher – These are the people who are going to be teaching and handling all of the students so of course they’ll be playing an important role when it comes to managing their students’ attendance. Definition of Terms

And lastly, you’ll want to define a couple of terms so that it’s clear to everyone if every you write them down under a particular student’s status. This is something that you’ll have to do so that everyone is aware of what the student’s status is and that they know what it means.

Here are the terms that you will need to write down:

  • Repeated Absence – This is when a particular student in a class is repeatedly takes a leave of absence. While it’s not enough to expel the student, it’s still takes note that the student is frequently absent. This means that there’s growing concern as to whether or not the student will continue these absences in the future.
  • Ongoing Absence – This is a status that most parents should not see in their child’s attendance records. What this basically means is that the student who has this attendance status is one that has been continuously absent in his or her classes. This raises concerns to both the students and parents as to whether something’s wrong and it will require a reasonable explanation as to why the student is continuously absent.
  • Extended Leave – This is the kind of status that’s given to students who need to take an extended leave of absence due to illness, accidents, oversea trips, etc. Whether or not the reason is acceptable will depend entirely on the teacher and the school head.
