7 Steps to Write a Donation Letter

Step 1: Consider the Recipients

A donation letter’s most important part is the receiver of the letter since the recipient is supposed to make the donation. Address the letter only to those people whom you know will understand your situation and are in the position of making a considerable donation to your cause. If you are addressing the letter to someone who is not in a position to help you by donating, then the whole point of writing the letter becomes moot and you are just their and your time.

Step 2: Write the Introduction

Just like any other letter, the first part of the letter needs to start with a proper introduction. You might be writing the letter to a whole organization but if possible you need to write the letter to a specific person. Addressing a single person allows you to make the letter more personalized and make a connection with the reader. If you don’t know your recipient, just write ‘To whom it may concern.’ If you are writing to a specific person write in the intro that you know their name and their job.

Step 3: Generate the Reader’s Interest

When you start writing the letter, you need to think about how to generate the reader’s interest. People normally consider donation letters boring and dull and hence, do not go through the whole thing. Your job is to make sure that your letter does not face the same. Start your text with an anecdote or a query that is immediately related to your purpose. do not beat around the bush and try to get to the point as soon as possible.

You need to be very specific while telling the recipient why only he or she or they can help. It is generally advisable that you do not mention any specific cash amount in the letter.

Step 6: Thank the Donor

Here you have to tread the sensitive range very carefully between not being presumptuous but also presuming your purpose to be so crucial that surely the donor will want to donate. Write a thank-you note in advance that tells your reader that you are grateful for their time and consideration. If you’re projecting to your recipient that they’re going to give to your significant purpose, they might be more inclined to donate.

Step 7: End With a Salutation

At the end of the letter, write your name and provide a formal salutation such as ‘Thank you’, or ‘Sincerely’.
