There will come a time where you or someone else will want to share important information with those that need to be aware of it. Should that time come, you’re going to need something that will help you explain what this information is, why it’s important, and what the recipients will need to do with whatever it is that they’ve learned.

The best way to do this is if you alert these people with notice letters. This article is going to teach you all that you need to know in order for you to be able to come up with a proper notice.

Elements of a Notice

Once the time comes that you have to create a notice, it’s very important that you’re able to implement all of the basic elements that the document will require. Lacking even one of them could prevent the document from doing what it’s supposed to. For instance, if you were to forget to include the date of when you plan to resign in your notice of resignation, then you’ll run into issues that could further delay your plans.

So knowing that here are the basic elements that just about every good notice will require:

1. Heading: The point of the heading is to help tell the reader about the identity of both the sender and the recipient. If you’re going to inform someone in specific, then you’re going to have to provide that person’s name, address, and contact details in your notice’s heading. Don’t forget that you will also have to provide your own basic information as well.

2. Opening Statement: Right from the beginning, you’re going to want to explain what the notice is for. When you do this, you have to make sure that you are able to give a thorough explanation. Keep in mind that the tone you set in your opening statement will be the tone throughout the entire letter. So if you plan on going with a formal one, be sure that you stick with that until the very end.

3. Body: After the opening statement, you’ll have to create the body of the notice. This is where all of the information that the recipient will need is going to be located in. Be sure that you know exactly what it is that you want to point out so that you can ensure that you’ve included it in the body.

4. Closing Statement: Remember that the way you’ve started the letter should be the exact same way that you end it. Be sure to thank the recipient for the time and effort he/she had to make to read your notice.

How to Make a Notice in Word

Now that you have managed to learn about what contents a notice should have, the next step is for you to learn how to actually make one. There’s no one single way to make a notice, but we’ll be focusing on how to make it in Word as it’s the most commonly used format to create them in. Although making a notice isn’t difficult, you still have to make it well to ensure that those who read it are able to learn everything that they need to.

So with that in mind, here are the step that will help you create a notice in Word:

    1. Use a word program: When you start making one, the first thing that you’re going to need is a Word program. Without it, you won’ be able to make your notice. Be sure to choose the one that yo think that you’re comfortable with. Take note that the most common and popular among them is Microsoft Word; the reason for this is most likely because of its easy-to-use interface and complete set of tools and options. Once you have your program, be sure to do the following:

    • Open up the program, select “File” and then “New”.
    • From there, you will choose if whether or not you would like to start from a blank document, or if you would like to use a template.
    • Proceed in making the notice.

As you can see, the process of making one in Word is fairly simple. You can do this for just about any notice that you decide to create, as well as any other documents that you would like to make in Word format.

    2. Provide all of the information that should be in the notice: Once you’ve managed to create the document, you’re going to have to fill it with information. It’s here where you’ll have to implement all of the basic elements that you’ve managed to learn about. Be sure to do the following:

    • Start with the date. Be sure that you point out the exact date in which the notice was made as this may be relevant with whatever it is that you want to share with the recipient. Type in the month, day, and year so that there won’t be any questions regarding when it was made.
    • Proceed with making the heading. Remember that you’ll want it to contain the names, addresses, and contact details of both the sender and the recipient. Provide complete details of all three so that both parties can confirm one another’s identities and so that they have the means to contact one another.
    • Provide what it is that the recipient must be aware of. Start with the opening statement that tells the recipient about the purpose of the notice. Then proceed to share other information such as names, dates, locations, or anything that contributes to whatever it is that the recipient must learn about.
    • Close the notice by thanking the recipient or advising him/her to respond within a specific time duration. Also, place your complete name and signature at the very bottom so that the recipient can verify the identity of the sender.

    Tips for Making a Notice

    1. Follow a proper format: If you want to make sure that the notice you make looks professional, then you’re going to have to follow a format.
