How to Write a Personal Thank You Note
Lets say that you’re doing a particular task that’s giving you more problems than you initially thought. You feel as if you can’t handle the situation alone and you need someone’s help. Eventually, you do find someone who’s willing to provide you with the assistance you need and does it free of charge.
So, when something like this happens, you need to be able to express your gratitude towards that person. And the best way to do that is by creating a thank you note that will fully express how grateful you are. This article is going to focus on how you will create such a note.
Although you may think it’s easy to write one right off the bat, chances are that you won’t even know how to begin. You might even make the thank you sound forced and there’s a chance that you may think that what you’ve written down is too short and is just better said in person. So, to help you avoid these problems, here are the steps you should remember:
Know who you are writing to
You won’t be able to write a thank you note if you don’t even know who you are showing your appreciation to. List down all of the people that you need to thank. If your thank yous are because of the result of a party in your honor, then write down the names of those who have provided gifts. You should also list down the names of any friends who did anything to contribute.
Use a proper greeting
This is the first thing the recipient is going to read when going through your note, so you have to make sure that it’s free from any grammatical and spelling errors. Be sure that the name of the person that you are thanking is there and the names of anyone else that you would like to mention as well.
Express your thanks
This is basically the main point as to why you’re even making this type of note in the first place. You have to begin with the two most important words: Thank you. So when you’re starting out this part of the note, you can do it in the following ways:
- Thank you very much for…
- I am truly grateful for everything…
- I appreciate all that you have done for me….
- You have no idea how much it means to me that you and your team…
While this can go on and on, listing down all of the examples would take a lifetime. Just make sure that this particular section shows that you’re clearly trying to express your thanks to the person or people who have helped you in any particular way.
Add specific details
If you received a gift from someone, then put it down on your note that you like it and how you’re going to use it. If it’s something that someone has done for you, then tell that person about what he or she did and that you won’t forget it. This will show that you really appreciate the thought and effort that they have put in for you. Here are some examples of how you can be specific:
- I can’t wait to use the money you’ve given me to buy the decorations that I need for my room!
- The shirt that you got me fits really well and I love wearing it all the time in and out of the house.
- Thanks so much for the party and for gathering all of my friends to celebrate it with me.
Look ahead
You don’t want to just sound thankful and then never expect to see these people ever again. You should mention the next time that you might see them, or at least let them know that you’re thinking of them if you really don’t have the time to see them just yet.

Restate your thanks
People can’t get enough of hearing thank yous, so you should add more details on your note in which you will be able to thank them again. You can do this with sentences such as the following:
- Again, I would like to thank you for everything that you have done for me and my family. I’ll keep in touch if anything happens.
- We’re really happy that you took the time to come to our party. We hope to see you again really soon and that you come over to the next one we plan on holding.
End it with your regards
You can always make use of the traditional “sincerely” considering that it’s always the safest choice to go with, but if you’re really close with someone or if you want to forge closer relationships, then you might want to go with a different and warmer option. Some examples of these would be the following:

- Best wishes
When you should send the thank you notes
It’s best that you send your thank you notes the moment after you’re done creating them. If you wait too long to send one, then chances are that you might even forget what you’re supposed to send or that the person you want to send it to might have already forgotten all about what he or she did for you. A good rule of thumb is to send out thank you notes within a month after the event has taken place. If it’s any later than that, then you should start with a brief apology and then you can proceed to thank them for what they did. You do not want to seem as if you’re some ungrateful jerk, so always be sure to thank these people that have done something for you.
