Step 1: Talk to your Client

Make a checklist to be sure and cover all your bases that you will be dealing with while catering for your client. Ask him/her about the date and time of the event, what type of an event is it going to be, where would the possible venue of the event be and also if he/she has any menu or food ideas they’d want as it is their special event. Be specific and clear when you are talking to your prospective client about what you can and cannot provide if he/she has asked for special requests.

Step 2: Design a Menu Proposal

Draft a menu proposal with all the possible points you have discussed with your client earlier. This should include your cost for all the varieties of food dishes your client has asked for. You can provide a designed menu card for your catering service if you have any. That could be either in the form of a whole menu package or a normal menu with possible add-on starters and desserts. Ask him/her whether they want the menu to be a plated A’la Carte or a regular buffet.

Step 3: Chore and Labor Costs

Since labour costs should be less than 30% of your revenue, make sure you ample all your employees pay in that. Provide a sheet with your possible expenditure for the setup, service, etc. Also, if you are providing paper goods like paper plates, glasses, spoons, forks etc., you have to inform your client that it would cost extra unless s/he wants to provide them to you instead.

Step 4: Mischallenous Expenditure

Include dishes, furniture like tables, chairs, napkins, etc. if you have to rent them for the event. Be transparent and honest with all the extra expenditure you will be making for the event. Also, if there are extra hours of labour included, add that into the bill as well.

Step 5: Terms and Conditions

The catering contract comes after finalizing the proposal by the client. This contract should include all the terms you have discussed with him/her. If you need to buy a few things before the event, you can ask them for an advance deposit as it will help you do your job better than procrastinate and leave everything for the last minute. Ask him/her for what is their mode of payment and a final guest count because you have to arrange for the extras as asked. Also, be clear by when do you want your final payment.
