6+ Project Management Timeline Templates

Project management should have been impossible had it not been for calendars and timelines. The ability to visualize a span of time and coordinate events is crucial to successful project execution. If you’re tired of having your projects suffer delays, conflicting activities, blurry deadlines, and missed milestones, a good Timeline Template will help you keep all the necessary elements on the rails and moving without delay toward a clearly defined destination.

One of the best ways to draft a good timeline is to study the management of successful projects that came before you. But project details for these things aren’t always accessible. To help you out, we have collected a sample of project management timelines and reports that you can download as free PDF files.

Why Do I Need a Project Timeline?

This is often the biggest problem with a lot of project organization: mismanagement of time.

It is not enough that you consider the element of time in your projects, but that you consider it fully, realistically, and to your advantage. With a good Blank Timeline Template and the right keys in mind, you should be able to get your project moving smoothly in good time.

Some Tips for a Successful Project Timeline

Remember, a good timeline for your project is more than a customized calendar. It is a tool, and like any tool, you can use it poorly, or you can use it well. Some ways to accomplish success with your timeline:

  • Set a realistic deadline. The only time to negotiate with a deadline is before you agree to it. After that, you do whatever it takes to meet it or beat it. Don’t underestimate the time any step might take when deciding on your deadline.
  • Allow a 50 percent buffer time. This is so you don’t overcommit or put yourself in too-tight situations when unexpected setbacks occur. If you estimate one step of the project to take 2 days, allot it 3 days on the timeline.
  • Simplify but do not oversimplify. For some large-scale projects, such as constructions and urban planning, the Project Timeline Template will necessarily be very detailed and expansive. Don’t let that overwhelm you. A big project will naturally need to have more elements in check; make sure you don’t leave out anything. That one overlooked detail could be your Achilles’ heel.
    • Refer to the Construction Project Management Timeline for a full-color, multipage example of managing a project over a long period.

  • Use it for accountability. When it comes to managing business projects, a Business Timeline Template can also be used as a viability report to investors, clients, and lenders. This way you make sure you are not only on the right track but that the plan holds up to the scrutiny of your peers.
  • Capture every level of management. Scan every horizon in your operation. No detail is too small or too grand. If it has to be done, and if it is going to affect the project from stage to stage, it must be accounted for. From the high-level view (see Project Management High-Level Timeline) to the ground-level operations (see Activity Timeline Project Management), make sure nothing is missed.
