5 Steps to Draft a Welcome Letter to New Employee

Step 1: Follow the Standard Letter Writing Format

There are different ways to write a welcome letter, but some opt for standard business letter formats. Your message should start with your necessary information: name, address, zip code, etc. You write them at the top-left of the paper. Under it is the complete date, followed by the recipient’s details. Now, remember to begin your letter with a proper salutation. Typically, people use “Dear” before the recipient’s title and the last name. The next thing that you should work on is the body of the letter. Three or four paragraphs are enough for a simple letter. Make sure you won’t go beyond a one-page type letter unless it requires you to do so. The last part is closing, and you have to write it as respectful as possible. You can use “Best regards” or “Yours truly” as your closing statements. It should follow by your full name. After it, you can mention attachments or enclosures if there are any.

Step 2: Get a Welcome Letter Template

While it pays better to learn the basics of writing a letter when you do it manually, it is also an advantage if we already have a template with us. Our ready-made sample letter templates provided above are ready-made and print-ready. It follows the standard letter formatting already. You only have to modify and provide the necessary information. They are all editable in almost all file formats, so there’s no problem having it changed either on your personal computer or your macOS device. Get a template now to save yourself from the hassle and the stress of drafting one from scratch.

Step 3: Be Expressive But Not Overly Dramatic

Writing a welcome letter would undoubtedly require you to be expressive with your thoughts. The message has to be welcoming for your new employees. They need to feel that you are happy about having them in your team at last. But make sure you don’t make it overly dramatic as if you are acting in a drama play. Just keep it simple yet delightful.

Step 4: Keep the Tone Formal

Although expressions are quite a need in writing a welcome letter, don’t forget to keep the tone still formal. You have to bear in mind that you are writing it on behalf of the company. So, you have to bring with you the honor and the respect a company shows to its new employees.

Step 5: Proofread

Always have time to reread and recheck your letter to avoid unnecessary errors, such as grammar and spelling. And proofreading is an effective way to do it right. Make sure you put everything to its proper places, provide the company logo and the necessary attachments, use the proper salutations, and put your signature on the top of your name.
