Whether you are in the IT industry or a construction firm, if a client wants to do business with you, he will want to know how much it is going to cost him, by when the project will be complete and the terms and conditions associated with the project. You are supposed to present it to the client in what is called a work estimate.
5 Steps to Create a Transparent Work Estimate
Step 1: Create a New Document
Create a new document in Google Docs. As more businesses are adopting it in their business, so visit docs.google.com and create a blank document. Give the heading ‘Work Estimate’ and below it write the date and other and the document number.
Step 2: Details of the Parties
In the next step enter details of your company and your client on either side. Take the help of a table here. Change the color of the cell borders to white. Enter the name, address, phone number and email ID of your company to the left side. On the left do the same thing with the client’s information.
Step 3: Description of the Project
In this section, describe the project. Then create a table to show a proper breakdown of the project and show the charges and other information related to each of the smaller tasks involved in the project. Create a 5 column table. For the heading gives give ‘Work Description’, ‘Labor Hrs’, ‘Per Hr Rate’ and ‘Total’ respectively. Create another table below it and enter the cost for materials required.
Step 4: Terms and Conditions
The next section should lay out the terms and conditions of the agreement. Mention by when the project would be complete. There might be a situation where either you or the client might need to stop the project due to some unavoidable circumstances. What is to happen then? All that should be mentioned here.
Step 5: Signature
If the client has read through the entire document and agrees with the terms and conditions, he would have to put his signature at the end of the document to acknowledge them. So write a sentence mentioning that the client agrees to all the terms and conditions and then below it put two long dashes on either side of the document for signatures. The first signature should be done by the client and the other by you.
