Some Common Event Types

We likely get too excited when being asked to come or being invited to events. Let’s face it—one main reason to get hyped about is food, lots of food; however, not all events offer meals, though. As we all know, there are different types of events organized by people depending on a certain aspect, ranging from the formal event ones or just simple organization events.

  • Business Dinners and Banquets. These events are formal celebrations that are usually organized by a company or certain organizations to celebrate accomplishments within the organizations and to enhance employee recognition and member self-confidence. These dinners may be a small gathering depending on the size of the organization. These are mostly held at a local restaurant or in a large hotel dinner hall or even in a unique venue like an art gallery or museum.
  • Conference. A conference, or best described as an “academic networking event,” is a type of event where participants are often experts in a given field and they meet to informally present and exchange new concepts or ideas. Some academic programs require participation in a conference in order to complete the program.
  • Consumer Exhibit. A consumer or gate show is a trade show that’s open to all people for public viewing. These shows generally have an entrance fee. People interested in learning about the latest products (electronics, automobiles, etc.) often go to consumer shows.
  • Convention. This type of event is a large gathering of people that share the same interest (usually professional or fandom related). Conventions are usually recurring and are often scheduled at a specific time in each year. These events usually have well-known speakers, as well as presentations that familiarize attendees with advancements or trends within their particular field of interest.
  • Exhibition. This type of event is a trade show that focuses on B2B businesses.
  • Fair. In this type of event or expo, it is organized for the main reason of exhibiting arts and crafts, industrial products and agricultural products, but more local and on a smaller scale. Not like with most trade shows, amusement and fair food (think fried ice cream and churros!) are often a major draw of attention.
  • Function. This is a social gathering party, sometimes of a ceremonial nature. A function is usually one or one of several gatherings that contribute to a larger event.
  • Fundraiser. This type of event can be a party, dance, dinner. Usually organized for the express sole purpose of raising money for a cause or organization.
  • Gala. A gala is a huge extent dinner gathering or party that often includes entertainment and/or awards ceremonies following dinner.
  • International Event. As per the meeting industry standard definition, when we say an international event, it is any event where 15% or more of the participants come from out of the event’s host country.
  • Networking Event. Organizing or sponsoring a networking event can be an awesome manner if you want to raise a company or individual’s profile within a certain community. Networking events vary from informal converse and drink sessions at a local bar to fully pledged galas complete with an open bar.
  • Launching of Product Event. Product launches are usually large extent events in which organizers invite journalists, bloggers, and social media influencers to witness the very first disclosing of a company’s new product. A successful product launch will often include a venue that is unique to the product being used and towards the viewers as well.
  • Social Event. This type of event is often a large gathering organized to commemorate major life events and religious ceremonies. Common social events include: anniversaries, weddings, and birthdays.

Important People Involved in Organizing an Event

In every event, apart from the ever-important viewers, there are people behind every event that made it successful.

  • Event Manager. According to Wikipedia, the event manager is the person who plans and executes the event, taking responsibility for the creative, technical, and logistical elements. This includes overall event design, brand building, marketing and communication strategy, audio-visual production, script writing, logistics, budgeting, negotiation, and client service.
  • Event Organizer. An event organizer is a person who schedules an event, and often the person that runs it and reports it. They always make sure that their events run very well, and if there are any problems, they resolve them as soon as possible. They are responsible for the event from start to finish.
  • Information Manager. Information manager is the person responsible for information acquired through different sources. Responsible for the documentation of all business operations carried out before, during, and after the event. He or she maintains a database of service providers, delegates, guests, sponsors, organizers, viewers, media people, and other important personalities. Formulating, preparing, and implementing the risk management plan is also part of the job.
  • Logistic Manager. Logistic managers are responsible for custom clearances and other related forms. Other than that, they are also the ones responsible for warehousing cargo and cargo insurance, for procurement management and resource management.

How to Properly Organize an Event

You need to ensure that everything is all set. Determine the date, location, staff, name of the event, and tag-line. Think if there is anything that could possibly go wrong. If there are any last minute switch-ups that could present themselves.

  • Gather and meet with your team. Get approval for your budget, schedule, and so on, from members of the team as well head of the organization. Brainstorm any problems that might come up. Creating an action plan will be perfect during this time. You also need to ensure that the team does not any issues. Communication is an imperative, make sure to always keep in touch with your team members.
  • Division of labor is always part of the process. Those who are experienced will coordinate all activities. If in case the event us ultimately huge, let different people organize different activities, which must be supervised by one person. It is also a better idea if one or two people will be managing their time in meeting, greeting and talking up the event as people come in and the event gets started.   • You can also solicit sponsors and other money sources from members. For sure there will be a lot of expenses being obtained in the upcoming weeks and getting all those huge expenses out from your own pocket is really unacceptable. Solicit at least some of the money to cover the partial fees. Some of these sponsors may require payment before the event even starts kicking in.
  • Make a strategic and marketing plan for the event. You can either prepare event flyers, event brochures, releases advertisements, send mailings, and visit participants or sponsors. Make sure the information you are laying out there is entirely complete, leaving them with only minimal to no questions.
  • Assemble items which are needed for the event. Medals, games, mementos, or prizes are some items that might be needed. There are so many minute details that might go overlooked to the eye. So always make it a habit to double check everything, from small stuff to huge ones.
  • Do the arrangements for everything. From arranging photos, videos, guests’ transportation to food for the clean-up crew. The list could go on and on, but then you’ll never get to organizing your event!
  • Make sure not to forget in preparing a contact list. You will need all needed phone numbers, addresses, and emails of the members. Also, make the same contact list for VIPs and suppliers for goods and services. In case if someone will not show up or will be running late, this serves as your reference.
  • Take time to visit the venue together with your team members. Look around the place and evaluate parking, toilets, arrangements, and different entrances and exits. Also, look for places near the venue where you can take photocopies, make phone calls, and buy things in case of emergency. Get to know the area like the back of your hand.

Organizing an event may never be easy, but with enough time for planning and with the assistance of your team members, you will be able to pull it through.
