- Event Manager. According to Wikipedia, the event manager is the person who plans and executes the event, taking responsibility for the creative, technical, and logistical elements. How to Properly Organize an Event
You need to ensure that everything is all set. Determine the date, location, staff, name of the event, and tag-line. Think if there is anything that could possibly go wrong. If there are any last minute switch-ups that could present themselves.
- Gather and meet with your team. Get approval for your budget, schedule, and so on, from members of the team as well head of the organization. Brainstorm any problems that might come up. - Make a strategic and marketing plan for the event. You can either prepare event flyers, event brochures, releases advertisements, send mailings, and visit participants or sponsors. Make sure the information you are laying out there is entirely complete, leaving them with only minimal to no questions.
- Assemble items which are needed for the event. Medals, games, mementos, or prizes are some items that might be needed. There are so many minute details that might go overlooked to the eye. So always make it a habit to double check everything, from small stuff to huge ones.
- Do the arrangements for everything. From arranging photos, videos, guests’ transportation to food for the clean-up crew. The list could go on and on, but then you’ll never get to organizing your event!
- Make sure not to forget in preparing a contact list. You will need all needed phone numbers, addresses, and emails of the members. Also, make the same contact list for VIPs and suppliers for goods and services. In case if someone will not show up or will be running late, this serves as your reference.
- Take time to visit the venue together with your team members. Look around the place and evaluate parking, toilets, arrangements, and different entrances and exits. Also, look for places near the venue where you can take photocopies, make phone calls, and buy things in case of emergency. Get to know the area like the back of your hand.
