How to Make an Employee Schedule

Right before every employee starts working, they are given their respective work schedule that they need to follow. Employee schedules vary depending on the amount of type of work that has to be done and the number of working hours that must be committed to. There are even some that come in the form of changing shift schedules as some employees may have erratic work hours. If you want to be able to make the employee schedule that you need, then follow the steps below:

1. Gain the Information You Need

Coming up with employee work schedules will depend entirely on the type of employees that you're making it for. Some have rotating shifts, fixed shifts, split shifts, on-call shifts, weekend shifts, etc. So what you're going to have to know who you're making it for in order to know how you're supposed to schedule your employees' working hours. Don’t forget to label them ante meridiem (a.m.) or post meridiem (p.m.) in case your company functions 24 hours a day.

2. Point Out Who It's For

Create a list of employees that fall under the schedule you're going to make. If they come from a specific department, then you can easily specify what department it is in the schedule. If the schedule is made for one specific employee, then you will want to know details such as his/her name, the department that he/she is from, and that person's job position as you are going to be placing it all into the schedule.

3. Determine How Long the Schedule Covers

Are you making an employee schedule that covers their entire working week? Or perhaps you're making one that's meant to point out what schedule they have to follow for an entire month?. It is important that the document is clearly able to show the days and time that it's supposed to cover. This is especially important if you're making a schedule that's meant to cover the shifts of different employees. It is best that you come up with a table that contains an appropriate number of rows and columns that covers what you need them to. Be sure that you specify the exact hour and day that each employee must come into or leave work, as well as when they should be starting and finishing certain tasks that they're assigned to.

4. Always Be Ready to Update

Keeping a copy of the schedule that you've made will make things easier for whenever you need to make changes. Know that it is always possible that employees might want to change shifts or that some are unable to work on the time that they're scheduled to do so. So when that happens, you'll need to be ready to make changes to the employee schedule. Use the appropriate editing program to help you make these changes and then send the updated copies to your employees as soon as you're done.
