What is an Email Signature?

An email signature is a small block of text written at the bottom part of a sender's email. This may vary in designs and color and can contain any information. But commonly it contains the contact information of the sender to represent their company.

How to Create an Email Signature

Most of your customers, suppliers, business partners and the rest of the important people check their emails. Since you communicate through email, why not use this as an opportunity to market your business? Emailmonday (2019), reported that there is a growth on the usage of email on mobile. Knowing this trend, evolving your marketing strategy is the best option for  your business. Having an email signature helps you generate important and relevant information professionally to your receiver. At the same time, this allows your receiver to contact you easily.

1. Limit Your Information

Nobody wants to look at huge blocks of text. They find it boring and intimidating. Writing your information like you're writing your entire life story is not going to pique somebody's interest. Keep your information short and simple. The best amount written in your email signature should be about 4 to 5 lines of text.

2. Add Your Picture

Anyone who reads your email and sees your email signature with your face in it will give the receiver a wider idea of who they are transacting with. This makes them communicate with you in ease and comfort, leading to a stronger relationship in business.

3. Include Your Logo

If you don't like the idea of placing your picture, you may use your company's logo to inform your receiver who they are transacting with. Including your company's logo in your email signature gives a great impact to your receiver's mind. Writing the name of your company is good, but adding your logo would easily help your receiver identify your company's name at first glance. Just remember not to overcrowd your email signature.

4. Add Social Media Icon

A lot of people uses a lot of social media sites. Now it is one of the best places to market your business. If you happen to have a well-managed social media profiles, then it is best to link it to your email signature through icons to give your business a flexible way to market itself.

5. Balance Your Design

The key to a beautiful and eye-catching email signature is having a well-balanced design and content. Use visual hierarchy to guide your receivers what to read first and last. It is best to choose the right color that is harmonious to your receiver's sight. Most of all, use dividers to break your text to avoid an overcrowded email signature.

6. Make it Mobile Friendly

Use the trend as your advantage in marketing. Make the format of your email signature mobile friendly and pick the graphic elements ideal for mobile designs because cellphones are the trend now a days. According to Litmus (2018), their statistics showed that 47% of the people's emails are opened on mobile devices. This shows that people prefers to their emails through their phones than on the desktop.
