How to Write a Managing & Motivating Document in MS Word?

Managing and motivating documents are documents that are meant to help improve the quality of work and satisfaction that employees feel while working for you and your company. These can range from project plans, satisfaction surveys, and a notice letter for incentives to wonderful sales performances. Though Microsoft Word is a good word-editing layout to create any document, it doesn't mean that managing and motivating your employees can come into one single document as there are different documents with different purposes under this category. So, here are a few tips to help you in making them:

1. Understand Your Employees' Needs

If you want a productive business, you need to recognize what your employees need (their wants are a different story and optional). Maybe your employees need motivation through pay raises, incentives, or a change of environment to work more efficiently. Your part as an employer is to manage their performance and make sure it equates to the number of preparations you made for them. Here is an example, if you run a call center, your employees will need functioning computers, good internet, and all the basic facilities that a workplace should have. You can create a checklist of this so that you are sure you provide everything your employees need to make your business successful.

2. Observe Your Employees

Keeping track of your employees allows you to assess who is doing great, who is performing moderately, and who needs a bit of help to keep up. Whether it be training for skills evaluation, tracking of employee performances through surveys, or providing a project plan they can follow, observing how your employees cope and adapt to change can give you a good basis for how they can improve.

3. Discuss on What is Relevant and Necessary

When talking about your employees, what you need to focus on is relevant and necessary information (i.e. only use information such as the name of the employee, the details of the evaluation given to him, the statement of the employee, and possible ways to remedy lackluster performance). When you do discuss this with a single employee, make sure that you two are alone in the room for discretion's sake, however, you can be more open if you are addressing individuals in a team. In managing and motivating your employees, Sticking to the scope of the problem or the agenda that must be tackled will give your employees clear direction for projects and plans and helping them set a clear goal boosts their morale.

4. See What Fits

Once you have an idea on how to manage and motivate your employees, how to observe them in their work area, and what necessary details you should stick to, you can begin looking at various documents to see what fits your needs. It can range from meeting notices to employee incentive charts, to even appreciation letters and reprimand letters. Don't be a boss who sticks with only charts and graphs and gives nothing but information to your employees, they're humans, not robots and they need help and reassurance every once in a while.

5. Draft and Proofread

Do not immediately jump into making your one and only draft of any important document. Rather, it's best to make multiple drafts that have been corrected over time through proofreading. Microsoft Word helps in this since it provides an easy to edit format for words and text.
