Overview of the Issue

We have identified an inconsistency in the accounts receivable ledger, specifically concerning invoice #4578. The invoice, dated December 15, 2023, for a total of $15,000, was recorded twice in the ledger, resulting in an inflated accounts receivable total by the same amount.

Analysis of the Issue

Upon reviewing the transaction history, it was found that invoice #4578 was erroneously entered on December 16, 2023, and subsequently, due to an oversight, it was re-entered on December 20, 2023. This duplication caused the accounts receivable to show a total of $450,000 instead of the accurate figure of $435,000.

The discrepancy was first noticed during the routine monthly reconciliation process on January 10, 2024. An immediate audit of the related transactions revealed the double entry as the root cause.

Resolution Steps

  1. Correction of Ledger: The duplicate entry of invoice #4578 will be removed to correct the accounts receivable ledger. This adjustment will bring down the receivable total to the accurate figure of $435,000.

  2. Internal Audit: Conduct a thorough audit of all entries made between December 1, 2023, and December 31, 2023, to ensure no other duplications or discrepancies are present.
