Job Title: Office Management - Administrative Department
We at Apex Financial Services are seeking a detail-oriented individual with a high degree of professionalism and strong organizational skills for the position of Office Management in our Administrative Department. This role involves management of departmental files, records, documents, and office supplies, as well as maintaining a clean and organized office environment, coordinating with vendors for maintenance and repairs, and managing departmental calendars.
Responsibilities and Duties:
1. Maintain and manage departmental files, records, and documents.
2. Monitor office supplies and equipment and ensure adequate stock level.
3. Coordinate with vendors for office maintenance and repairs.
4. Assist in maintaining a clean and organized office environment.
5. Manage departmental calendars, schedule meetings, and appointments.
6. Coordinate and communicate with internal and external stakeholders regarding meetings and events.
7. Prepare and equip meeting rooms for meetings.
8. Draft, proofread, and edit departmental communications, emails, and reports.
9. Answer and direct incoming phone calls and inquiries.
10. Handle departmental mail and distribute as necessary.
11. Respond to routine inquiries and escalate issues as needed.
Qualifications and Skills:
Prospective candidates must possess strong organizational and time management skills, excellent oral and written communication abilities, proficiency in MS Office Suite, and a high school diploma or equivalent. Previous experience in office management, administration, or a similar role is preferred.
