IV. Communication Protocols

A. Regular Meetings

Frequency: Weekly on Mondays at 10:00 AM (GMT-5).

Platform: Zoom Meetings.

Agenda: The information was shared through email before the meetings took place.

Primary Tool: Utilize Slack for our daily updates and for conducting quick discussions.

Emergency Contact: Should any urgent matters need immediate attention, you are requested to make use of the designated Slack channel that has been set up specifically for such instances.

VI. Expectations and Guidelines

A. Working Hours

  • Time Zone: Eastern Standard Time (EST).

  • Core Hours: 9:00 AM to 5:00 PM EST, Monday to Friday.

B. Response Time

  • Expectation: It is your responsibility to ensure that all messages and emails received are responded to within a timeframe of 24 hours.

C. Availability

  • Calendar Sharing: Make sure that the calendars are accurately updated and current to ensure effective scheduling and precise coordination of activities and events.

VII. Decision-Making Process

  • Approach: The project team as a whole will engage in a collaborative decision-making process, ensuring that the thoughts, perspectives, and input of all team members are duly considered. Nevertheless, ultimate decision-making authority will reside with the Project Manager, who will have the final say over any project-related decisions after thoroughly reviewing all opinions and suggestions from the team members.

VIII. Conflict Resolution

  • Protocol: If conflicts arise, it is highly encouraged to address these issues openly and with the utmost respect towards all parties involved. Should the situation call for it and the conflicts remain unresolved, the matter should be escalated to the Project Manager whose role includes finding a suitable resolution.

IX. Team Building and Cohesion

  • Activities: We host a variety of virtual events at our company such as coffee chats which enable us to casually connect and converse alongside our morning brew, team trivia games that inject an element of fun and competition into our work routine, and we wrap up each month with a virtual happy hour that allows everyone to unwind and socialize in a relaxed setting.

X. Continuous Improvement

  • Feedback Mechanism: We conduct monthly surveys and regular retrospective meetings to gather feedback. This feedback is then used to implement necessary improvements.
