When inquiring about a product, sometimes, the customers just want the information that they want to be delivered quick and complete. In fulfilling this seemingly-demanding task, sales representatives of different companies ready with them a handy rate sheet, a “cheat sheet” of sorts that contains the different prices of the products and services that a company offers.
A rate sheet is a document provided by a company that features the majority, if not all, of the products of the company and lists down their respective prices. It is pretty much like a product catalog, but it is more streamlined, direct, and basic in form. In this article, we will be showing you how to make a rate sheet and the essential aspects involved in creating one.
1. Company Information: These are the details about your company that help the potential customer establish a mode of contact if ever they feel like availing one of the products listed on your rate sheet template. Some of these details that must be put on your rate sheet are your company name, address, and contact information like phone numbers and email address.
2. Products and Services: These are the various commodities listed on your rate sheet that is being offered by your company. Rate sheets don’t typically include the product description as it will take up more space, hence, only the product names can be found.
3. Product Rates: What is a rate sheet without the rates? Your product rates pertain to the listed prices of your offered products and services. It can be indicated as a price per piece or price per hour depending on what your company is selling.
4. Visuals: This pertains to the different graphical elements that contribute to the overall appeal of your rate sheet. While it is true that a rate sheet can exist with only a product and price list, a rate sheet that is peppered with visuals has greater potential in raking in potential clients.

The company name, logo (if there is any), business address, and at least three contact details should be at the topmost part of your rate sheet.
2. Make a table, and list down all your products in the first column: Your rate sheet should be able to identify all of your products and services in a single column. If you are listing down different varieties, it will be best to split your products according to types and make multiple columns. It is not necessary to add in a description for each product as this will take up more space.
3. On another column, list down the respective prices of your products: Make sure that the products and their respective prices are placed on the same row. Also specify the rate of the price, whether it is by a number of pieces of the product or by hourly usage of the service.
4. Add in the peripheral information: Should there be a promotional discount that the customer needs to know about? Are you offering a special deal for a certain period of time? Take note of any additional information that you need to communicate and add this on your rate sheet. Usually, this type of information is placed at the bottom part of the rate sheet. Set the font size small enough that it will not take up the space for your product rate table but big enough that it can still be noticed and read.
5. Polish your rate sheet with a clean, professional design: When deciding on the kind of graphical embellishments for your rate sheet, make sure that it will still look professional. Make use of the design to highlight important parts of your rate sheet and project a formal image of your company.
Rate sheets vary in sizes, but the most common ones are those that are printed on US Letter (8.5 inches by 11 inches), US Legal (8.5 inches by 14 inches), and A4 (8.27 inches by 11.69 inches) papers. Choose the size that is spacious enough to fit all the information and the necessary white space with it.
ROS, or “run of site,” is a type of ad placement commonly found in advertising rate sheets of media agencies that are selling ad spaces on their websites. When an ad space is indicated as ROS, it means that the ad can be displayed on any of the pages in the website.
Articles published in newspapers don’t always take the whole page and they leave a small space at the bottom corner that needs to be filled out. The advertisements that exist on these spaces are referred to as fill ads, and companies who want to put up their branding as a fill ad refer to the newspaper’s rate sheet for the pricing.
A nonprofit rate sheet is similar to a regular rate sheet in all aspects save for the pricing principle. This type of rate sheet entails cheaper rates of a product or service because, from the name itself, it does not yield any profit for the company or organization. Non-profit rate sheets are commonly used by a nonprofit organization to let a potential donor know the products and services he or she can avail to contribute for a certain charity work.
Coming up with a rate sheet for your business might seem like a big chore, but it is actually quite direct and a straightforward process. As long as you know what you are communicating, have the information beforehand, and heed to the various rate sheet templates in this article, you should be able to come up with a good rate sheet for your company.
