HUMAN RESOURCE ASSISTANT - JOB DESCRIPTION

Human Resource Assistant supports the whole human resource department by sourcing for the best job candidates, administering tests to the applicants, scheduling appointments both for the applicants and for the clients, welcoming new employees to the organization, maintaining records and information, providing information to the payroll process, conducting and/or coordinating meetings, orientations and seminars related to company policies, memorandums, additional workshops, trainings and other employee relation events.

Duties and Responsibilities

Human Resource Assistant has a wide range of responsibilities including, but is not limited to the following:

  • Providing and sourcing job candidates and applicants.
  • Obtaining potential candidates by advertising about the job vacancy or reaching help from external sources, such as employment agencies or institutions.
  • Phone screening for online applicants.
  • Scheduling interviews and tests for shortlisted applicants.
  • Performing initial interviews for walk-in and scheduled applicants.
  • Administering series of tests to the applicants.
  • Scheduling series of interviews for the qualified applicants who passed the initial interview and series of tests.
  • Gathering and updating the unsuccessful applicant’s information for future reference.
  • Preparing files, contracts, forms for the new employees, existing employees and about to leave/resign employees.
  • Assisting in or conducting New Hire Orientation for the new employees.
  • Providing the list of requirements to the new employees and existing employees.
  • Collecting and tracking of the employee requirements.
  • Maintaining and updating 201 files of the new hires, existing and inactive employees.
  • Securing new hires and existing employees’ essential information relevant for government mandated benefits and law compliance.
  • Collecting time and attendance records for the payroll process.
  • Answering, if not assisting the Human Resource Officer/ Manager, for any time and attendance record disputes and issues from the employee/s.
  • Coordinating or conducting department meetings for a smooth flow.
  • Preparing documents necessary for department or board of director meetings.
  • Conducting employee meetings for company updates, amended or added policies and memorandums.
  • Disseminating copies of company manuals, policies and memorandums for employees.
  • Conducting additional workshops, trainings and drills for the employees.
  • Documenting Human Resource activities, meetings, administrative hearings, interviews, special trainings and others by completing the forms, reports, logs and other records.
  • Updating headcounts of the employees from new hires, transfers, turnovers, promotions, terminations and resignations.
  • Carefully tracking employee benefits such as merit increase, sick leave, vacation leave, other forms of leave benefits, performance-based salary appraisal.
  • Administering Performance Evaluation to all employees according to schedule.
  • Coordinating employee relation activities such as Teambuilding, Acquaintance Party, Thanksgiving Party, Christmas Party, Year-End party, etc.
  • Notifying existing staff of internal opportunities and promotions.
  • Assisting the Human Resource Officer/ Manager for any work-related activities.

Skills and Abilities

Human Resource Assistant should possess the following skills and abilities:

  • Must be able to operate different computer programs and applications such as Microsoft Office, instant messaging apps, email domains, web domains, basic tools.
  • Must know how to do basic computer troubleshooting.
  • Must know telephone and other communication device techniques.
  • Excellent in creating tables and graphs in a spreadsheet software
  • Excellent in creating powerpoint presentation
  • Good oral and written communication
  • Knows how to appear friendly yet formal to people
  • Familiar with any pre-employment testing materials or willing to be trained
  • Familiar with timekeeping or willing to be trained

Work Schedule

Human Resource Assistant normally works [NUMBER OF HOURS] hours per week from [DAYS OF THE WEEK]. Your official working time is from [TIME OF THE DAY] in the morning/ afternoon/evening until [TIME OF THE DAY] in the morning/afternoon/evening.

Compensation and Benefits Package
