5 Steps to Write an Organizational Budget

Step 1: Estimate Your Expenses

Make sure to estimate your expenses for the coming fiscal year. In some cases, it may be yearly rent, salaries etc. In other cases, it could be telephones, utilities etc.; an estimate of an average monthly cost. You must also allocate some money to a miscellaneous category in order to cover unexpected costs. When doing all of this, try to be as accurate as possible and use the actual figures if you can.

Step 2: Estimated Yearly Expense

This may include the salaries or wages for all employees, separated by position, fringe benefits for all employees which can be a considerable amount. This will also include the rent or mortgage that comes with your organization’s space, with utilities such as heat, electricity, gas and water; phone service, internet services and insurance.

Step 3: Estimate the Cost of Materials

If you require materials to conduct activities and such in your office or organization, or just general supplies, you must account for this as well, in your budget. If you have equipment such as computers and other electronic devices, make sure you account for costs of repair during the year as well.

Step 4: Necessary Expenditures

Loan payments, consultant services- audits, accounting and bookkeeping services, payments to other organizations for specific services, printing and copying from external sources, transportation- for staff, probably participants and volunteers, vehicle upkeep if your organization has vehicles.

Step 5: Estimated Expenses for Expensive Items

Here you can allocate some money to the things that you may not be able to afford in the near future, but you still would like to own. This makes sure that these things are on the plate even though it might take some time to make these items a reality. Finally, add up all your expenses to get your consolidated budget.
