How to Write an Application Letter?
Now that you have an idea on what and what not to include on your letter, here is how you should write your application letter.
Provide contact information for both yourself as the applicant, and the recipient of the letter, which will most likely be the employer. Along with your name and the employer’s (if you know the name), the contact information should include the following:
- Complete Home or Mailing Addresses
- Phone Numbers (either home, office, or mobile)
- Email Addresses
Greet the reader by writing “Dear Mr./Ms. or Mrs./Dr.” and then their last name only. Right away, inform the reader of the purpose of your letter, which is to apply for a job position in their company. Specify the position that you are applying and if you found out about the position in a job posting, then mention its source.
Considered as the most important section in an application letter, this contains all the background information that the reader needs to learn about you. This should write here your educational attainment, your previous work experiences (if you have), your skills and qualifications that are relevant to the position you are applying. You can mention here why you are the best candidate for the job as well as the things that you can contribute for the success of the company. If you want, you may even mention here the accomplishments you have made in your previous company that can help you further secure the job.
On this section, you may briefly summarize your qualifications and why you should be hired for the position, and you may even restate your contact details. Then you can proceed by thanking the reader for taking the time to read your letter and for considering you for the job position.
Sign off by writing “Sincerely” or “Respectfully” with your typed full name below that. Then you can finalize your letter by placing your handwritten signature over your name.
Dos and Don’ts When Writing an Application Letter
- DO address your application letter by name. If the name was not provided in the job posting, then you should do your research to find out.
- DON’T rely completely on the employer to take action. It is up to you to request to be called back for an interview. It shows them how interested you are to work for them if you make follow-ups.
- DO keep the letter simple and easy to understand. Use simple vocabulary and sentence structures because you wouldn’t want the reader to waste time deciphering what you are trying to say. But if this is the case, your letter will most likely end up in the trash.
- DON’T take too long in addressing your purpose why you are writing that letter. As much as you want to be unique and creative, get straight to the point about your intention.
- DO put yourself in the shoes of the employer and ask yourself why you should be hired in that position.
- DON’T submit application letters that contain spelling and grammatical errors. This will only show the employer that you take things for granted and are unprofessional.
