Dear Jane Doe,

I am writing to inform you that my company will be vacating the commercial space that we are currently leasing. In line with this, the company shall no longer be renewing its lease and will effectively be terminating a contract on January 25, 2020.

Should there be any other concerns regarding the termination of the lease, or should any of our mail still make its way to the property, you may forward them to our new address. You may also forward any other concerns, including a cheque for our security deposit to this address as well. As per our agreement, I would also like to request an inspection of the premises, together with a member of your management. The company will ensure that all utilities and bills are paid in full, and transferred out of our name before we move out.
