A rent invoice is a simple form and a formal document in a business transaction prepared by the landlord and presented or issued to the tenant, requesting or demanding payment from the property rentals, such as house, car, and equipment rentals. It is the responsibility of the landlord or the property manager to maintain copies of all related documents in a rental transaction to ensure that proper recording for the rent payments has been made.
Creating a rent invoice is a tough and tedious task, especially when one has no clear idea of what to include and how to start creating a rent invoice. Thus, to save yourself from hassle, you can follow these simple steps for you to be guided in your business invoice creation.
Your header must include the following information as the landlord or property manager's name, company name, logo, complete address, contact number, email address, website, and other contact details. This is important so that the tenant will have a way to easily communicate with the landlord or property owner in case of questions and clarifications. Your logo and company name is also significant since incorporating them in the header would increase brand awareness, therefore boosting your brand in the market.
You must also incorporate the information of the tenant in your rent invoice, which are as follows: tenant's name, company name, if any, complete address, and contact details. This would help you verify that the contact details presented are still up to date.
These include the unique sample invoice number or billing document number, date of the issuance of the rent invoice, and due date. These numbers are vital in your invoice, so make sure that you commit no mistakes when you input these details.
Preferably in a tabular format, present the property and rent information. Create a list of the property rented, their corresponding amount, due date, additional fees for late rental payments, among others.
The payment information must also be stated in your rent invoices, such as the terms of payment, acceptable payment modes, and freight charges if there are any, and many others. The payment terms must specify the period allowed to the tenant to pay the amount due. For the acceptable payment methods, the landlord or property manager may indicate the modes of payment, for example, cash in advance, cash on delivery, credit card, debit card, bank transfer, money transfer, and many others.
Lastly, do not forget to affix your signature as the landlord or property manager, usually at the bottom of the page to prove the legitimacy of the document. This would also add credibility and branding to your business invoice.
