They say that if you want to see a change in the world, then be the change that you want to see. This mantra perfectly captures the essence of the existence of non-profit organizations, a collective of advocates who are pushing for the good kind of paradigm shift through their various charity works to the marginalized and oppressed sectors of society.

However, if we are being real, desire alone can only get you so far with your advocacy. It needs concrete action, and every action requires money. For a non-profit organization to hold activities, they hold fundraisers in their community. These fundraisers come in a variety of forms, from your walk-a-thons, benefit concerts, food sale, too expensive galas. Nevertheless, regardless of the type of fundraiser a non-profit organization plans to hold, it should never miss out on preparing a simple fundraiser order.

Elements of a Simple Fundraiser Order

fundraiser order is a form for the donors and customers of the activity that the non-profit organization is holding. The order contains their important contact information and the type of product or service they are availing for the sake of fundraising. These order forms are also used in logistics and accounting, so that the non-profit organization will gain important information in holding their fundraiser.

1. Non-profit Organization Details: The name of your nonprofit organization, your headquarter’s physical address, and contact details like phone number and social media handles comprise this element in your fundraiser order. These pieces of information can be used by your potential donors to keep correspondence with you in any of your fundraising activity. Some order forms even have the organization’s mission and vision statement stipulated just below the organization name.

2. Fundraising Title: Customers need to know the cause for their donation and what activity or sale they are signing up for. Your fundraising title should be concise enough to give out those important information. The fundraising title usually succeeds your organization name and logo.

3. Order Table: This is where you will fill out information regarding the order of your non-profit’s products and services. Like a graphical table, it consists of at least five columns that will designate the donor’s name, contact details, order particulars (specific product, quantity, etc), amount paid, and payment status of the order.

4. Product List: The product list of your order form is an important appendage that features photos or pictures of your products and their corresponding prices. They can help customers choose the product or service that they will be availing for your fundraiser.

Steps to Make a Great Simple Fundraiser Order

1. List the items that are for sale: Come up with a list the items that you are selling to raise funds. Come up with a name for each item that can also function as a short description. For example, if one of the items you are selling are shirts, then you should name them according to their color and collar type, like “blue round-collar shirt.” Group similar items into categories and take note of the number of categories you have made.

2. Draw a table for your order form: Choose a word-processing program that can create a table by heeding the following guidelines:

  • First, draw a table with three columns and rows that are as many as what will fit on the page. Label each column with Name, Address, and Contact Information from left to right respectively. These three rows will be filled in with customer details. Their contact information can be a telephone number or an e-mail address, depending on what works best for them.
  • Next, create additional columns that will correspond to the categories you came up with in the previous step. If you are selling clothing then possible categories would be “Men’s Shirt” or “Ladies’ Blouse.” Label each column with a category name and create sub-columns if necessary.
  • Lastly, insert two columns at the end of your table. These columns will be titled Total Due, where you will write the total amount that the customer will be paying, and Payment Status, where you will indicate if the client has paid or not.

3. Make a separate section for your pictures: Dedicate a page where you will showcase pictures of your products. Group these pictures according to their category. This will help your customers decide what to buy especially when you can’t take your actual products with you in the marketing campaign.

4. Complete filling out important details, then print: If you have a logo of your organization, the place it on the top of the page. You can also place it as a background of your order form by changing its transparency then setting it behind the table. Print the form for everyone in your organization who will be participating in the fundraising activity.

Tips for a Great Simple Fundraiser Order

  • Switch to landscape orientation: If you are having problems fitting in all the columns in one page, then change the layout of the page to landscape. This will create more space for your columns. It is ideal to switch to landscape once you exceed 10 columns.
  • Include your order forms in your marketing media kit: If you are planning to hand out flyers and brochures for your fundraising activity, bundle these together with your fundraising order form for a complete media kit. This will make your potential customers be more compelled to make that order.

Types of Simple Fundraiser Orders

The type of your fundraiser order forms depends on what kind of fundraising event you are holding. When it comes to fundraisers, there are eight common classifications that exist, and these are:

  • A-thon Events: Walk-a-thons, hike-a-thons, or basically any activity or sport that you want to plug in is possible to this type of fundraising activity. It has increasingly become familiar, too, because they do not cost a lot in organizing and yields a fun activity that is easy to be participated in by anyone in the community.
  • Auction: Auctions are one way to attract rich donors for your fundraiser, especially if you have rare items or collectibles that are ready to be sold. This type of fundraising activity gives donors a reason to spend all the while socializing with other donors. Auctions usually yield very high returns and are easy to plan for a mid-sized organization.
  • Gala: Galas are expensive events that entail dinner and entertainment for the donors. They are large-scale events that only large non-profit organizations can efficiently hold. Aside from the fundraising ticket sales, gala proceeds also come from the auctions and sponsorship tables during the event.
  • Benefit Concerts: Concerts for a cause always drive in the most donors as they are fun events to host. Performers are not just limited to celebrities as you can always pull off a benefit concert featuring a local talent. Although they are difficult to prepare, concerts are doable regardless of the size of your nonprofit organization.
