How to Write Workplace Fragrance Policy Templates
You would think that a general employee wearing perfume in the modern office is not that big of a deal. But what if that employee’s fragrance is too strong to the point where it can disrupt a normal coworker’s ability to perform in the workplace? What if it can even potentially harm those who have sensitive noses?
This is why you have to come up with a company policy that is directly related to fragrances that people bring with them into the workplace. If you want to prevent productivity and employee performance from decreasing due to extremely strong fragrances, then here are steps you will need to follow:
Put the policy in writing
Draw up a formal, written scent-free policy or guideline. You have to make sure that it is simple enough to understand yet specific enough so that employees can clearly see what fragrances they can and cannot wear. Make it clear that this is a beginning and that the employees can go over the policy analysis, alter, and even expand on it so it will meet everyone’s needs.
You have to make sure that the employees are familiar with the policy, especially if they have input on how it is being developed. You also have to state that the policy has solid backing from top business management should anyone question its official status.
Send the employees a copy of the policy before the effective date. Direct supervisors to go over the policy with the employees during their staff meetings so that any questions that the employees have can be answered during that time.
You also have to make sure that the policy is consistent throughout all the departments within the company. You would not want employees complaining how it is not fair that those in Human Resources can wear strong perfumes just because they are separated from the rest now, would you?

These are the things you have to do in order to make an efficient no smoking policy:
- Assign the overall responsibility of creating the policy to a trusted individual in the company
- Appoint an advisory agenda committee to help out the person who is in charge of creating the policy
- Set a timeline as to how long the business policy should be developed and when it should be implemented
- Hold an advisory meeting agenda that will allow you to obtain employee input, discuss the safety hazards of certain fragrances, suggestions on how to improve the policy, etc.
When scented products are allowed in the workplace
Should you decide that employees may wear mildly scented products in areas where sensitive and non-sensitive employees work together, then you should come up with a safety plan that will ensure those individuals who are extremely sensitive to them. You can include a simple statement saying that certain fragrant products can only be used in specific areas in the workplace. For example, you can designate a specific area where extremely sensitive employees do not need to worry about fragrances such as conference rooms. Just be sure that you state this clearly within the corporate policy.
