A catering contract is a legal and an unbreakable written contract with detailed service expectations between a caterer and a client. How to Create a Catering Contract in Just 6 Steps:

Step 1: Terms of Agreement

Terms and conditions are very important for any contract. Your catering contract must have all the necessary information of the client like the client’s name, address, telephone number and email address, the event’s date and specific location, the event’s start time and expected duration, the number of guests, etc.

Step 2: General Information and Company Policies

Your contract should mention all your company’s policies, as the client might not know them all. These policies can be- food leftover policy, insurance, deposit/advance, etc., so that the client will know what he/she is getting into, before creating any sort of a dispute. Make your policies clear and understandable to the client.

Step 3: Services Provided

Make a list of all your services being provided to the client, without missing any. In case you are asked for additional services, do not forget to mention them too. It is very important that you mention the work you are doing for your customer so that he/she can understand that you do try to do your job in the best way possible and cannot blame you for things that are not in your control. List how many staff you are providing from your side and if there are any changes made.

Step 4: Menu and Guest List

Provide a detailed menu that you have agreed upon with your client and all the extra amenities he/he has asked for and the cost with it. Make sure that you have the guest list right with the guest count. Mention to the client that if he/she has an increased or reduced number of guests than mentioned, what would the charges be for it per person, etc.

Step 5: Payment and Cancellation Fees

Mention a pay agreement in the contract which includes all the costs for the services you are providing, as well as tax and gratuity. Give a specific date as to when you want your payment. You can ask your client for an advance deposit, in case you have extra expenses to bear for the event. As event details may change unexpectedly, make sure you have a cancellation fee agreement, in case the event gets cancelled. Get a breach of contract clause added, so that both you and the client are aware of the legal actions going to be taken if any issues prevail.

Step 6: Signature

Leave space at the bottom of the contract for your signature and that of your client with the date. Always include a paragraph before signing that states you guarantee for all the services and also provide your contact number in case any changes are to be made. Be 100% that your client reads the complete agreement before signing it.
