5 Steps to Write a General Invoice
Step 1: Be Very Transparent
It is very important for your client to know what he is paying for. Don’t be vague while writing the invoice. If you are charging for three expenses, then detail them down rather than just writing “expenses”. In case of providing both services and products, make different sections for them.
Step 2: Header of the Invoice
In the header, it is preferable to write invoice in capitals so that it can be easily distinguished from the rest of the documents. Another option is to write your business name on top. If you are willing to create a creative invoice, then you can make an eye-catching header with your company name in it.
Step 3: Payment Info and Due Date of Payment
It will be very useful for the clients if you tell the payment methods along with payment info. i.e. how will you receive the payment like through cash, cheque, credit cards. It is a good practice to write the due date of payment in the invoice to generate a quick response and also make a provision for a late fee.
Step 4: What are these Additional Charges?
Make sure that your clients never need to ask this question. Always be very upfront in terms of money. Any additional charges or taxes you have levied, describe them adequately. They should be separately lined. If you need to go at far lengths to avoid any confusion, then do it.
Step 5: Comments and Terms & Conditions
If there are any additional terms and conditions which you need to inform your clients, make a separate terms and conditions section. For any instructions about the current transaction, you can leave your comments in the comments section. Put thought into every detail for the satisfaction of your client.
