7 Steps to Create an Event Planning Proposal
Step 1: Ask Your Client
The first step to writing an event planning proposal is to have a one-on-one meeting with your client. This is the best way to start your event planning because you need to know your client’s needs and preferences. Throw every question you think is necessary to get the right information you need. Don’t leave out any important considerations. Make your client feel that you are willing to do the task at any cost. Give them the assurance they need to trust you. It may foster your client to contact you for future events or prompt them to refer you to their friends.
Step 2: Finalize Your Client’s Needs
After you have asked your client about what they want for the event, it’s time to start the real work. Perhaps, they gave you the details that are random and casual. So, your job is to have those details organized. You can arrange it in descending order, prioritizing the most important and most difficult ones.
Step 3: Look For a Template
Your work gets easier when you have a template with you. It can save you from a time-consuming process of drafting an event planning proposal from the beginning. With the help of our event proposal templates, you can have extra time to work on other things. You don’t need to spend all your time creating a model because we already have done the works for you. From our list of event proposal templates above, select the one that better suits your needs.
Step 4: Provide a Summary of Yourself
This step asks you to introduce yourself, your business, and your project in a precise and professional manner. As an event planner, you may highlight the successful events that you have handled in the past. As cliche as it may sound, you need to be creative in presenting yourself while not entirely losing a substance. Keep it brief yet informative.
Step 5: Highlight Your Services
Your event planning proposal will not be as good as you expect it if you don’t highlight your services. Make your offer your best seller. Wow them with what you can offer to them. As they always say: “give them your best shot!”
Step 6: Give a Detailed Cost Breakdown
An event planning proposal will not be complete without a proposed cost. In this section, you have to allocate an estimated cost to each item or service and provide a total approximate cost for everything. Your client should have an idea of the budget they need for their preferred event. And they can only envision it when you give them a detailed summary that lists all the items with corresponding costs.
Step 7: Include Event Policies
At the end of your proposal, you may include your event policies. Manage and set your client’s expectations by giving them procedures that they also need to meet. It may consist of a minimum headcount, limited time offer, cancellation policy, rental or damage policy, payment due, and other relevant event policies you think are appropriate.
