Step 1: Create a New Document in MS Word

Step 2: Enter the Attendee and Absentee List
Write ‘Call to Order by’ followed by the name of the person who called the meeting to order. Then enlist the people attendees grouped according to their roles. Group the remaining attendees in the others section. Write their name, put a comma after that and write their role. Then on a separate list include the names of the absentees.
Step 3: Give a Brief Description
In the next section give a brief description of the reason this meeting is called for what is to be discussed in it. This should be short, preferably not more than four to five lines. Also, mention the identification number of this particular document and other such related details in this section itself.
Step 4: List Out the Agendas
Write ‘AGENDA’ on the next line followed by an explanatory sentence like ‘Consider the following actions for approval’. Select both and then align the text to the center of the box that we created using a table. Then draw a box around the text by choosing the rectangle shape from the insert menu. Below the box write down the different agendas in a numbered list.
Step 5: Add Reports and Announcements
Finally, it is time to add the reports that have been submitted by the attendees responsible for the task. The reports should preferably be attached as separate files and the main document should only include the designations of the people who have submitted. This should be followed by announcing the date and time for the next meeting as well as the motion to adjourn.
