7 Steps to Make a Payroll Notice
Step 1: Determine the Purpose
Payroll notices can be written for several purposes such as payroll change notice, payroll notice for deferral, payroll transfer notice, etc. Before making the payroll notice, you need to determine the purpose of making the notice. In other words, you need to provide an answer to the question, why you are making the payroll. For example, if you are changing the payroll altogether, then you need to draft a payroll change notice.
Step 2: Determine the Reasons
After deciding on the type of payroll that you would be making, you need to think of the reasons for making that particular type of payroll. For instance, if you are making a payroll change notice, it implies that you are changing the payroll of the employees. So why are you doing this? Why are you changing the payroll? Think about these reasons before you start working on the notice as you would need to provide them in the document.
Step 3: Select an Application
To make the notice, you can choose to either handwrite it or make it on a digital platform. It is advisable not to handwrite it as it an official document. To make it on a digital platform, you first need to select the appropriate platform. There are several software applications available to be used like Word, Excel, Google Sheets, Numbers, etc. You can choose any one of them to make the notice. It is most advisable to use Excel since it provides such options that are not available in the other software applications. To make a new document, open Excel and select Blank Workbook.
Step 4: Mention the Company Details
The first thing that needs to be included in the notice is the details of the company. This includes the name, the address, and the email ID of the company. To do this, you need to select a cell in the sheet and then start typing in the required text. The details should be provided in cells one after the other. In other words, type in the name of the company in the first cell, then type in the address in the cell below it.
Step 5: Include the Other Details
A few other information needs to be added to the notice. This includes information about the person for whom the payroll notice is being made. Start with the name of the person, followed by the title, the address, and the full contact information of the employee. Follow the same format as when inputting the company details, that is, write the title in the cell below the cell containing the name. Two other important details to be added include file number and the employee’s social security number.
Step 6: Specify the Change
In the next section of the notice, you need to specify the change that is to be made to the payroll. This is where you will need to think about the reasons for making the worksheet you established earlier. Make separately titled sections for inputting this. For example, if you are making the payroll notice to notify the employee of the change in the payment, then mention the initial payroll, followed by the changed payroll, along with the date from when it will be effective. Also, mention the reason here why you are changing it.
Step 7: Create Columns to Input Values
Several different values need to be inserted into the notice. The first is the number of days and the hours the employee is supposed to work. Adjacent to this, the column should include the number of days and hours the employee has actually worked for. After this, proceed to insert the pay the employee should receive for each week or month, followed by the changed pay that the employee would be getting. If there are any deductions to be made or additions, then you need to include that too.
