Getting your first project from a client is surely a memorable experience. But you need to ensure that the projects keep coming in. In order to ensure that you should satisfy the current client who might come back to you with another deal or refer a friend to you. This can be achieved by being systematic in your approach. Discussing the project in a meeting is a good idea. For that, you need to prepare the meeting minute.
6 Steps to Create Project Meeting Minutes in Google Docs
Step 1: Create a New Document
Open a blank document in Google Docs the free alternative to Microsoft Word that you can access from your web browser. Give the heading as ‘Project Meeting Minutes’. Change the text color to your company’s theme color. Then change the file name to project_meeting_minutes_[date of the meeting]. If you have a separate file naming scheme that you follow to save documents that is even better.
Step 2: Enter the Meeting Details
Insert a table having four columns. For the first row write ‘Meeting/Project Name:’. Merge the next three cells horizontally. In the first cell of the second row write ‘Date of Meeting’ and in the cell below write ‘Minutes Prepared By:’. In the third cell of the second row (parallel to ‘Date of Meeting’) write ‘Time:’ and in the cell below write ‘Location:’. In the first cell of the fourth row write ‘Meeting Objective’. Then merge this cell with the remaining cells in this row. Change the color of the first row to something you like.
Step 3: Insert Details of Attendance
Insert another table having four columns. In the first row write ‘Attendance at Meeting’. Merge the other cells of this row with it. In the first row of the second row write ‘Name:’, in the second write ‘Department/Division’, in the following ‘Email’ and in the final ‘Phone’. Leave as many rows below this as you see fit. Change the color of the first row to the same color as you chose last time.
Step 4: Write Down the Agendas
Add another table below the one above. This time it should have three rows instead of four. In the first cell write ‘Agenda and Notes, Decisions, Issues’. Merge the cells of this row and change its color like you did last time. For the heading of the three columns write ‘Topic’, ‘Owner’ and ‘Time’ in the same order given here. Insert as many rows below as you see fit.
Step 5: Write Down the Action Items
Follow the same table format as you used in the last step. We just need to change the heading and the labels. For the first row give the heading as ‘Action Items’. In places where you wrote ‘Topic’ and ‘Time’, write ‘Action’ and ‘Due Date’ respectively. The ‘Owner’ column remains as it is. Just like before, change the color of the first row and insert as many rows below as you see fit.
Step 6: Discuss Details for Next Meeting
This is an optional step that you need to follow if you are aware of when and where the next meeting is going to take place. Insert a new table having six rows. In the first row give the heading ‘Next Meeting’ and change the row color. Merge the cells of this row into one. In the next row write the following labels respectively leaving one cell empty after each: ‘Date’, ‘Time’, ‘Location’. In the next row write ‘Objective’ in the first cell and merge the remaining cells starting from the second.
