Any project has several stages of development. Larger the project greater the number of steps and more the number of people involved. All of these people are required to work in coordination with each other. To ensure this coordination the project outline should be clear to all. Each and every person should be aware of his role.
6 Steps to Creating a Project Meeting Agenda in Google Docs
Step 1: Break Down the Entire Process Into Small Chunks
Think about how the entire process can be broken down into smaller sub-processes. This is an important part because everybody in your team should be specialized in doing a certain task. Thus it is better to break the tasks into small processes by either certain teams in your organization or by individuals.
Step 2: Create a New Document and Enter Basic Details
To create the document let’s use the free online word processor Google Docs that you can access directly from your browser by visiting docs.google.com. Enter the basic details related to the meeting like the date, time, venue and the names of the people attending the meeting. Also, add a document number if you can.
Step 3: Create a List of People that Would be Assigned the Tasks
List out the names of the people who would be assigned to the project. You can create small groups where under one experienced person there would be a few less experienced ones. The duty of the experienced person would be to properly guide them in the roles that they shall be assigned.
Step 4: Assign Responsibilities
As we discussed earlier ideally every team has people who are individually capable of handling a certain task better than the other tasks. Naturally, he should be given the task that he can handle the best. This would ensure a faster and more efficient way of carrying out the tasks.
Step 5: Create Work Schedules
Every project has a deadline that needs to be maintained. It is better to complete the project well before the deadline in case there is an emergency and certain things need to be altered fast. To ensure that, each of the sub-processes needs to be given a certain deadline that the individuals or the smaller teams need to follow.
Step 6: Add the Additional Yet Relevant Notes and Signature of Approval
If there are any additional details that are relevant to this project that the people are expected to be aware of, include that in the last section. After that the person who is calling for this meeting needs to check the contents of this minutes and approve them by signing at the bottom in the assigned location.
