How to Create Employment Application Forms

When the time comes for a company to find new recruits to join their ranks, they’ll need all the information that they can get from the numerous amount of applicants that wish to take on the positions that are up for grabs. This way, those in charge of the hiring committee will be able to see whether any of the applicants have the desired traits, characteristics, and skills that will guarantee the position’s success within the business. And the only way to do that is through the use of employment application forms.

Since we know just how important these documents are, it’s also important that you know how to make them. So here are the things that you’ll need to place in every employment application that you need to make:

1. The Applicant’s Personal Information

If you’re going to hire someone for a spot at any department in your company, then you would obviously want to learn who that person is. You’ll eventually need this information in the event that you have to add this person to the employee payroll, when you have to create that persons’ employee I.D, etc. This means that you’ll need to provide spaces where the applicant may provide his/her complete name, address, and contact details (both phone number and email address). Also, you want to make sure that this person is eligible to work in the country that your office is located in as you want to ensure that you’re legally allowed to hire this person; otherwise, you’ll end up with problems that you could have easily avoided by just checking.

2. A Statement Regarding Background Checks

When you get information regarding a person, you don’t just want to take it at face value. What you want to do is to see whether all the information is accurate, or if that person decided to exaggerate most of the claims in his/her application; this way, you can determine if this person is someone you should hire or someone that you should avoid entirely. The only way for you to do that is if you are able to do a thorough background check on the applicant.

However, you can’t just go do a background check without informing the applicant first as that will be a major violation of your company’s policies and the law. So what you’re going to have to do is provide a statement in the application form which asks the applicant whether he/she would submit to a background check? This gives the applicant a choice as to whether he/she is okay with the idea and it tells you if the applicant has nothing or something to hide. So be sure that you place this on the application form to avoid breaking the law and so that you can see as to whether or not this person is exactly who he/she claims to be.

3. The Position That’s Being Applied

In order for you to determine whether the applicant’s skills and education are good enough for your company, you’ll need to find out what kind of position he/she is applying for. This way, you’ll be able to compare the qualifications of the applicant with what you require out of the position that you’ve opened to see whether he/she is perfect for it or is better of in another position. So you should have a spot in the application form for where the applicant will place the title of the position that’s being applied for. You may also see simple job application forms.

Next is you’ll want to place a line where the applicant can state his/her available start date, along with the desired pay; the latter being important as it will tell you how much the applicant knows about the position, as well as how the applicant values himself/herself. Once that’s done, it’s best that you also have a checkbox which contains options as to the type of employment that’s desired by the applicant. These choices should be full time, part-time job, or temporary. Depending on what you’re looking for and what the applicant chooses, it’ll help prevent wasting both parties time.

4. The Applicant’s Education

There are positions wherein it will require a certain degree of knowledge in order for certain complex tasks to be done well. This is why it’s very important that employers always try to see what kind of education an applicant has achieved before they start considering that person for hire. Some positions might require that an applicant has completed a specific major or has at least acquired a high school diploma; it all depends on what that position needs in order to benefit the company. So as you’re creating the employment application form, you’ll need to have lines where the applicant is able to write down the school that he/she attended, the school’s address, the number of years that the applicant has attended that school, whether or not the applicant was able to acquire a degree, and the applicant’s major. All of this is very important as you’ll also need them for the background check.

5. References

One way to help employers with doing a simple check on an applicant is by gaining that person’s references. References are people with whom the applicant has worked with or has at least dealt with professionally at certain points of his/her career. It’s best that these references aren’t family members or close friends as they can give out biased answers or information to the employer. So having the applicant provide a list of these references is a great way for you to determine as to whether these people are close to the applicant or not through the background check. You may also see free applications.

You’ll have to create blank spaces where the applicant can place the names of these references, the title of the positions that these people have acquired, the company that they work for and their phone numbers. You’ll especially need the last one as you want to be able to contact these people to verify certain pieces of information about the applicant. You may also see outside employment forms.

6. Employment History

Sometimes there are positions wherein an applicant is required to have at least a certain amount of job experience. The reason for this is because the experience will prove useful in the event that the applicant is hired, and it’s also for ensuring that the applicant already knows or at least has an idea on what he/she is expected to do.

As you’re creating the sample application form, you’ll want to place a question which will ask as to whether or not the applicant has already had previous job experience. Just place two checkboxes where he/she can choose either yes or no.

If it’s a yes, then you’ll need all the information that you can get what job or jobs the applicant has previously undertaken. This information is definitely required for the background check process as you’ll need to verify all the information to determine whether the applicant has written down everything accurately and so you can spot any possible inconsistencies.

So the information that you’re going to need are the following:

Remember that you’ll need all of this for when you have to do a thorough background check as knowing what information is true and what isn’t is what will help you determine as to whether you want to acquire this person for your company or not. You may also see employment templates in a word.

7. Signature of the Applicant and a Disclaimer

Before you allow the applicant to sign the document, you’ll want a statement regarding all the information that the applicant has presented. The statement should say that everything that the applicant has placed on the document and complete to the best of the applicant’s ability. Also, you’d want a statement which says that should the application lead to employment, the applicant will understand that false or misleading information in my application or interview may result in my employment being terminated. You may also see printable application templates.

Once that’s done, all you need to is provide a space where the applicant may provide his/her name, signature, and the date in which he/she has signed the application form.

How to Improve Your Company’s Employment Applications

Some companies think that gaining employees is as easy as providing application forms and waiting for people to line up for the opportunity. Unfortunately, it’s these very same companies that fail to find the right people that they’re looking for, and end up with employees who do mediocre or below standard jobs. You may also see sample employment applications.

So if you want to improve on how your company handles the employment application process, then here are a few steps that should be able to help:

1. Read and Review the Application Forms

It’s honestly very surprising as to how so many employers fail to properly review the application forms that they receive. There are some who either forget to carefully read what applicants write down in the document or they end up not being able to see what the applicant could have possibly left out. You may also see application for employment forms.

What you’ll need to learn is that more often than not, one’s application form can reveal signs of potential problems down the road. Look for large gaps in employment history, that’s usually around the 6 week time period. Their salary history may show wages that are higher than anything you can offer, meaning the job would unlikely be a good long-term fit. You may also see job application form for recruitment.

There are times where employers hire a person, yet immediately regret their decision as they’ve failed to see that the new hire has had previous problems in his/her previous workplace. So always be sure to go through one’s application before you even consider that person for the job. You may also see job application samples.

2. Know What You Need to When It Comes to Utilizing Social Media

Social media sites such as Facebook, LinkedIn, and Twitter can give employers information that other types of applications cannot.

By taking advantage of social media, employers are able to gain access to important knowledge such as one’s personal background or a more in-depth job history.

However, employers have to make sure they do not violate any privacy rights in doing the research while using social media. This means that companies should not attempt to gain access to the private portions of an applicant’s social media site.

So to help you with this, you can always ask the applicant’s permission to do a background check regarding his/her social media information so that you’ll have a better understanding of what he/she is like both in a personal and professional manner. You may also see HR application templates.

3. Put the Company First

Hoping to avoid ugly lawsuits, more companies are including statements on applications that address matters such as harassment, falsified information, and unethical behavior. You may also see application form templates.

There are a ton of application forms nowadays which contain statements where applicants are required to agree to certain conditions before they’re considered for employment. A good example of these statements would be that should the applicant be hired, he/she will need to report any instances of harassment in the office to the appropriate authority. You may also see job applications.

Though signing such applications means that employees relinquish some of their rights, it will still benefit them and the company. So it’s basically a form of security for the company to prevent hiring people that may put them at risk. You may also see generic employment applications.
