5 Steps to Prepare an Effective Certificate Letter

Step 1: Choice of Software

You can use MS Word, InDesign and other software like this to prepare the certificate letter. The most significant thing is to develop a layout for your letter to make it look professional and formal.

Step 2: For Whom and By Whom

Write down the address and designation of the person to whom you are sending the letter. You should also mention your address and designation aswell. This is the actual format of a letter.

Step 3: Salutation

The use of proper salutation makes a formal letter. Use Sir or Madam to greet that person. If you are not aware of the gender of the person, use ‘To Whomsoever it may concern’

Step 4: Letter should be to the Point

Do not write long sentences or start describing. Use short sentences that clarify your point. The addressed person does not have all the time to read your letter. So make it short and simple

Step 5: The Conclusion

Add a proper conclusion of a maximum of two lines and not more than that. End with a  thank you note, as a show of gratitude towards the person who invested his or her time reading the letter.
