5 Steps to Create a Termination Letter in MS Word

Step 1: Create a New Document

Create a new document in MS Word. You may use any other document processor of your choice and rest assured that you can follow the upcoming steps with equal ease. On the top of the document write ‘Termination Letter’, Then after putting a dash beside it write in short the reason for termination.

Step 2: Details of Recipient and Sender

In the next section, we are going to write the date followed by the details of the sender and the recipient respectively. Write the name of the person sending the letter. Then beneath it, write the address, followed by the position he is filling and the name of the company all in separate lines. Leave a line and on the next, write down the name and address of the recipient, separately.

Step 3: Introduction and Reason for Termination

Begin the letter as you normally would and then write a short paragraph stating that the person has been terminated. Also, write the reason in short. In the next paragraph write in detail about the issue. Mention how he has breached the company policy and all the members of the board have agreed to this decision.

Step 4: Termination Process

This is just the initiation of a termination process. There are usually a number of things that need to be done for the termination process to be completed. Apart from vacating his desk, he should be handing over any documents or files that he had been given access to as an employee of the company. So, one by one, list out all the tasks that need to be completed by him.

Step 5: Attachments and Signature

The employee needs to sign a termination agreement as well and for that reason it needs to be attached to the mail. If there are any pending payments that needs to be taken care of as well. So along with this document attach a cheque as well. Finally at the bottom leave a space for the signature of the authorized person. Beneath it write down the name of the person, his position, as well as his contact details.
