Every letter that a student receives from his school or college is special to him. To him, it is like receiving a personal message. Even though he might be aware that it is just his name on an acceptance letter template it is of immense value to him. So write one that he would love to keep with him.

5 Steps to Write an Acceptance Letter that Students Love Reading

Step 1: Create a New Word Document

Create a new document in the document editor of choice. Put your college logo on the top. Then save the document as acceptance_letter.docx. If you already have letter templates that are designed for separate purposes it’s even better. Open the relevant one and then continue to the next step.

Step 2: Write Down the Basic Structure of a Letter

Put the date below the logo. On the next line write the name of the person to whom it is being addressed. Follow it with the student’s address. Throughout maintaining a left alignment. No need to put any comma after any of the above details. On the following line write ‘Dear [name of recepient]’ and on the next start away with the main content.

Step 3: Give the Student the Good News

Tell the student that you are honored to welcome him to your college and that his admission has been approved. Ask him to send a confirmation of acceptance by replying to this mail. In case you are sending this as an email, he can just reply to this. It is better if you already have an enrolment form waiting for him on your college website.

Step 4: Let the Student Know About the Formalities

Guide the student as to how he needs to submit the required documents and deposit his semester fees. Also if you have a document that lists the guidelines and rules that a student is expected to follow let him know that here or mention where he can get hold of the document.

Step 5: Ask the Student to Contact in Case They Need Further Clarification

The student is new to your college and might have a number of queries. What seems obvious to you might not be so obvious to him. Assure him that he can get his doubts clarified should there be any. Provide him with a list of contact numbers of people who would be willing to help him out.
