How to Write a Resignation Letter

A resignation letter, just like those featured in formal resignation letter templates, follow a strict format. And to help you on what to write on your resignation letter, here is a discussion on its formatting.

Header with Sender and Receiver’s Information

Just like any other formal letter template, the topmost portion should contain your full name, complete home address, phone number, and email address. Below that will follow the recipient’s name, designation in the company, name and address of the company’s office, phone number, and email address.

Salutation and Opening Paragraph

Depending on how acquainted you are with the recipient of the letter, you may or may not start the salutation with “Dear.” But if you want to maintain utmost formality, you may simply start with “Mr.” or “Ms./Mrs.” or “Dr.” followed by their last name only (only write their last name for the salutation since their full name already appears on the header).

Guidelines when Writing a Resignation Letter

Still unsure on how to write a resignation letter? Here are some helpful guidelines on how to write one to make it easier for you.

  • Length of the resignation letter. Just like most business letters, keep your resignation letter brief, concise, and direct. You wouldn’t want to waste the time of your employer by reading your letter that only informs them of your departure. Your letter should be around two to three paragraphs with two to three sentences per paragraph. Your letter should not exceed one page.
  • Formatting of the letter. As mentioned earlier, your letter should contain a header, salutation, two to three paragraphs explaining your resignation, and a sign off with your signature. You should have at least a one inch margin on all sides of the paper, and align all your texts on the left.
  • Contents of your letter. Your resignation letter should start with a statement that says you are going to resign including the date of effectivity.
