The Difference between Invoice and Receipt

A receipt, or a bill of sale, is another nonnegotiable part of any official, documented transaction. It, like the invoice, is a record of certain basic details that it shares in common with your typical invoice:

  • A list of the commodities and services delivered
  • Unit price per item or service
  • Total service fees charged
  • Details of the client
  • Date and time of transaction
  • Any other relevant details pertaining to payment

The main difference between the invoice and the receipt (or bill of sale) is that the receipt is issued immediately after a transaction is completed to document successful payment. The invoice is issued before any payment can be made (after the service or commodity has been successfully rendered).

In this case, you can see why it’s generally more important to have an invoice than a bill, even though both are important to complete in a timely manner. Invoices are crucial pieces of information to make sure you actually get paid.

When You Will Need Both Forms, or Either Forms

Every document on this list is available to download as free PDF documents in zipped folders, which you can then print and start using for immediate official use. As long as the necessary information fields are filled out in each form, they should be legally binding.

Always keep a copy of the invoice with you (generally, even bills of sale will have the seller’s copy and the buyer’s copy). If there is any problem with the payment of the transaction, the dutifully completed invoice should serve as evidence of the charge.
